FREQUENTLY ASKED QUESTIONS
A few thingsworth knowing.
Practical answers about your invoices, the results you receive and how the service works.
01 / QUESTIONS
Processing & results
What the service produces and how to use it.
How accurate is extraction? What percentage is automated?
Extraction uses machine learning and can produce errors — amounts, tax, parties, dates, and lines. We do not publish an accuracy figure. You must verify the extracted data and the output files before accounting, tax, payment, or sending them on. A measured rate, when we have one, will describe past performance — not a warranty on your documents.
Terms of Service §9Do you process receipts or expense claims?
No. The service is for invoices. A cash receipt, delivery note or expense claim is outside the scope of EN 16931 and receives a verdict of not applicable. That is a completed, chargeable result — not an electronic invoice. Do not upload receipts expecting structured data.
Terms of Service §7Is the electronic invoice the legal original?
For incoming invoices, no. Extracted data and generated XML are a derived representation, produced for structured import. The authoritative version is the source file you uploaded, which we store and link to the record. For invoices you issue, you are the issuer: the XML must agree with the source. A discrepancy in amounts, tax, or parties is your tax risk.
Terms of Service §8Do you guarantee Peppol BIS?
Peppol BIS is optional and not warranted. Reaching it depends on data often absent from the source — electronic addresses and a buyer or order reference. We do not warrant that any document will reach Peppol BIS. The validation report states the standard actually reached. We do not send the file.
Terms of Service §7Do you send invoices to Peppol, eAddress, or VID?
No. Delivery is outside the service. We produce files and data — JSON, UBL XML, a validation report, CSV, and the original file. Sending them to a recipient, a Peppol Access Point, a national channel, or a tax authority stays with you.
Terms of Service §6Does a validated file meet every e-invoicing obligation?
No. File validation checks the selected standard. Your obligations may also include a particular format, delivery channel or reporting process. Bizalma produces files and data; checking the requirements that apply to your business and delivering the invoice remain your responsibility.

Getting started & pricing
Your organisation, free allowance and charges.
How do the 10 free documents work?
The first 10 chargeable documents are free for your organisation, once. The allowance does not expire and does not renew monthly. It belongs to the organisation, not to each user or client company. Duplicates and rejected uploads do not consume it.
Terms of Service §14What does processing cost after the free allowance?
Each document includes 10 invoice lines. Each additional line costs €0.01. Prices exclude VAT. There is no per-user fee. PAYG has no monthly minimum; optional 1,000- and 5,000-document monthly commitments have a lower base rate and a minimum payment. The default is a prepaid balance with a €25.00 minimum top-up. See Pricing for your plans, an estimate and the full commitment terms.
Terms of Service §14Can I add colleagues or process documents for clients?
Additional users are added by us at your request. Accounting firms can work with served companies inside their organisation. You must have the authority to submit third-party documents.

Data & service
Access, retention and the scope of our commitments.
Who can see my invoices?
Our reviewers — our operations staff, not a role you assign — are assigned to every organisation. They can view documents and correct extracted fields — that is part of the service, not an exception. Support has read-only access. All such actions go to the audit log. Organisations are isolated from each other. Additional users are added by us at your request.
Terms of Service §10Do you archive my documents?
No. The service is not an archive of accounting source documents. Statutory retention remains yours. Keep your own records independently of Bizalma.
Terms of Service §6 and §17Do you encrypt data at rest? Do you take backups?
We do not claim encryption at rest, or backups and recovery. Those measures are not in the DPA.
DPA Annex IIIs there an uptime SLA?
No. The service is provided without a committed service level. We aim for continuous availability but do not warrant uninterrupted or error-free operation.
